JOB DESCRIPTIONS

 

The PTO Elected Board positions are as follows:

 

PresidentThe President shall preside over meetings of the organization and executive board, serve as the primary contact for the principal, represent the organization at meetings outside the organization, serve as an official member of all committees except the nominating committee and coordinate the work of all the other officers and committees so that the purpose of the organization is served.

 

Vice President: The vice president shall assist the president and carry out the president's duties in his or her absence or inability to serve.

 

Secretary: The secretary shall keep all records of the organization, take and record minutes, prepare the agenda, handle correspondence, and send notices of meetings to the membership. The secretary also keeps a copy of the minute's book, bylaws, rules, membership list, and any other necessary supplies and brings them to meetings.

 

Treasurer: The Treasurer shall receive all funds of the organization, keep an accurate record of receipts and expenditures, and pay out funds in accordance with the approval of the executive board. He or she will present a financial statement at every meeting and at other times of the year when requested by the executive board, and make full report at the end of the year.

 

Financial Secretary: The financial secretary will collect and deposit membership dues and PTO monies, serve as a third signer on the bank account and perform delegated duties as assigned.

 

 

COMMITTEE CHAIRS JOB DESCRIPTION

 

The PTO appointed offices are as follows:

 

Programs Chair: Coordinate dates and performers for the student assembly programs with school and book all events, work with the PTO council to organize activities and presentations. Coordinate holiday shop, book fairs, family events. Co-Chair the Organization of the Fall Harvest Festival

Fundraising Chair: Organize and coordinate annual fundraising events that the PTO may vote to sponsor.  Examples: Read-A-Thon, Sees Candies. Co-Chair the Organization of the Fall Harvest Festival and organize the Auction Baskets fundraiser.

Membership Chair: Organize fall membership campaign, prepare information letter, collect and tally membership monies, issue membership cards, order and distribute membership incentives, present classroom membership incentive awards.

Volunteer Coordinator Chair: Create and provide volunteer form before the start of school to be distributed during membership drive. The volunteer Coordinator will create and maintain an up to date database or spreadsheet and provide list of qualified volunteers as needed to different committee chairs when required. This person may be required to contact volunteers on behalf of PTO Committees.  

Box Tops Chair: Distribute flyers throughout the school year to encourage families to clip the box tops, Coordinates various incentives to promote the program, Collects box tops on a monthly basis and submits them to the company. Provide monthly updates on the program's progress and looks for other creative ways to increase collections.

SJVA Teacher Representative: Attends meetings, gives valuable insight into what the PTO can do to support teachers and staff
